It’s a voice assistant, trained specifically on your business, that answers your phone line. It greets callers naturally, answers their questions about your services, prices, and availability, books appointments onto your real calendar, and sends you a summary of every call. Think of it as your best front-desk hire — one that never sleeps, never calls in sick, and never puts anyone on hold.

It books real appointments. The receptionist connects to your calendar (Google Calendar, and most scheduling tools), checks genuine availability, and confirms the slot with the caller before hanging up. You get a text and email with the details. Message-taking is the fallback, not the product.

You decide what counts as an emergency — a burst pipe, a no-cool call in August, a legal matter that can’t wait — and the receptionist transfers those calls live to you or your on-call person. Everything else gets handled and summarized so your evenings stay yours.

Yes — that’s the whole point. During setup we train it on your services, service area, pricing rules, hours, guarantees, and the questions your customers actually ask. It answers “do you service Venice?” and “how much is a service call?” the way you would.

It says so gracefully — no bluffing. It takes the caller’s details, flags the question for you, and promises a follow-up. You’ll see the gap in your call summary, and we add the answer to its training so it knows next time.

The core product is inbound answering. Outbound follow-ups — appointment confirmations, review requests, reschedule calls — are available as an add-on. Ask about it on your call.

It can handle dozens at once. Unlike a human front desk, there’s no busy signal and no hold queue — after a storm, when forty homeowners call in an hour, all forty get answered on the first ring.

Yes — bilingual English/Spanish answering is available. The receptionist detects the caller’s language and switches naturally, which matters on the Suncoast.

Every call ends with a summary texted and emailed to you: who called, their number, what they needed, what was booked or promised, and a full transcript if you want it. Nothing about your own phone line should ever be a mystery.

Typically one to two weeks from our first conversation to your receptionist answering live calls. Simple setups can be faster; businesses with complex intake or multiple calendars take a little longer. You’ll hear it and test it yourself before it ever answers a customer.

No. You keep your number exactly as it is. We use call forwarding — either full-time, after a few rings, or only outside business hours. You control when the receptionist picks up, and you can change it any time.

Yes — that’s one of the most popular configurations. Many clients start with overflow answering (it picks up when your team can’t get to the phone by ring three) or after-hours only, then expand once they see the summaries.

About an hour of your time. We’ll walk through your services, prices, service area, scheduling rules, and the questions customers ask. If you have a website or price sheet, we start from that. Then we build, you test, and we go live.

Absolutely — you’ll call it yourself as many times as you like before launch. Try to trip it up; that’s the fun part. We tune it based on your feedback and don’t go live until you’re confident.

Google Calendar out of the box, and most popular scheduling and field-service tools (Jobber, Housecall Pro, ServiceTitan, Calendly, and others) by integration. If you run your day from a specific tool, mention it on the call and we’ll confirm the fit.

$349 a month, plus a one-time $399 build. The build covers training the receptionist on your business, connecting your calendar, and testing it against real call scenarios until it’s ready. The monthly covers 500 call minutes — roughly 150–200 calls — plus the ongoing tuning, changes, and management. Minutes beyond that are $0.50 each. High-volume or multi-location businesses run $649 a month with 1,500 minutes included. That’s the whole price list; there are no per-seat fees and no contract.

Nothing breaks — the receptionist keeps answering. Extra minutes are billed at $0.50 each on your next invoice. If you’re consistently running over, we’ll tell you and move you to the higher tier rather than quietly billing overage forever. Most Suncoast service businesses never touch the ceiling except during storm season or a snowbird surge, which are exactly the months the phone pays for itself.

No long-term contract. The build fee is one-time, the monthly is month-to-month, and you can pause or cancel whenever you want. We keep clients by being worth it, not by locking the door.

Management. The receptionist isn’t a tool we hand you and walk away from — every month we listen to real calls, fix the ones it fumbled, add the questions your customers started asking, update your prices and availability, and keep it sounding like your business. That ongoing tuning is the difference between an AI that works in month six and one you switched off in month two.

A full-time front-desk hire on the Suncoast runs $35,000–$45,000 a year plus benefits — for 40 hours of coverage a week. Your AI receptionist covers all 168 hours for a fraction of one month of that salary, and it never has a sick day. Many clients run both: humans for in-person warmth, AI for overflow and after-hours.

Traditional answering services take messages — usually from a script, often outsourced, at $1–$2 per minute. Your Equation receptionist actually answers questions, quotes your real prices, and books real appointments. It replaces the message-relay with the outcome you wanted all along: a booked job.

Simple math: if your average job is worth $350 and the receptionist captures just two calls a month that would have hit voicemail, it has paid for itself. Most service businesses miss far more than two calls a month — industry research puts unanswered rates above 60% for small businesses.

No — and this is the question everyone asks until they hear it. Modern voice AI speaks with natural pacing, tone, and pauses; most callers simply don’t realize they’re not talking to a person. We’ll play you real calls on your demo, and you can judge with your own ears.

The receptionist stays calm, rephrases, and never argues. If a caller clearly wants a human, it gracefully offers to transfer or take a priority message rather than trapping them in a loop — the opposite of “press 4 to hear these options again.”

No. There are no menus and nothing to press. Callers just talk, the way they would to a person, and the receptionist understands context — “my AC died last night and I’ve got a baby in the house” gets urgency, empathy, and a same-day slot, not “please say ‘schedule’ or ‘cancel.’”

It sits on top of whatever you have — a cell phone, a landline, a VoIP system, or a multi-line office setup. If your number can forward calls (they all can), it works. Nothing gets ripped out.

Yes. Calls are transcribed and stored securely, used only to serve your business, and never sold or shared. You own your call data and can export or delete it whenever you like.

Your calls fall back to exactly what happens today — your phone rings as normal. The receptionist is a layer on top of your line, not a replacement for it, so there’s no new single point of failure.

Customers hate voicemail, hold music, and calling back three times — that’s what they leave one-star reviews about. What they want at 9 PM with water on the floor is an answer and an appointment. A receptionist that provides both, politely and instantly, wins on the only metric that matters: the job got booked.

It’s your call — some clients have it introduce itself as their “virtual receptionist,” others use a team name. We’ll set it up honestly and in line with your preference and applicable rules. What we never do is make it pretend badly; natural and confident beats uncanny.

Every call is transcribed, so mistakes are visible, fixable, and rare after the first weeks of tuning. When something’s off, we correct the training that day. Compare that to the mistakes nobody catches today: the calls that were never answered at all.

You work directly with Equation US, a Sarasota business, and specifically with the person who builds your receptionist. No offshore support queue, no ticket numbers. When you call us — a receptionist answers, then we do.

Because we only publish real ones, with permission — never fabricated quotes with stock photos. As our Suncoast clients rack up results, you’ll see them here. In the meantime, we’d rather show you a live demo than a suspicious wall of five-star praise.

Sarasota, Florida. We build for the Suncoast first — Sarasota, Bradenton, Venice, Lakewood Ranch, North Port, Port Charlotte, and the greater Tampa Bay area — because we know how season, storms, and snowbirds shape a local service business’s phone.

The Suncoast is home and our specialty, but the receptionist works anywhere in the US. If you’re outside Florida and like how we work, book a call — we won’t hold your area code against you.

Any business that loses money when the phone goes unanswered: HVAC, plumbing, roofing, electrical, landscaping, pest control, garage door, auto repair, cleaning services, med spas, dental practices, and law firms are our core. If your customers call you, this is for you.

Direct access to us, ongoing tuning included. We review transcripts in the early weeks, tighten answers, and adjust as your business changes — new services, new prices, new hours. Your receptionist should get better every month, not stale.

Your receptionist keeps answering — it doesn’t evacuate. For storm-driven trades (roofing, tree, restoration, pest), the days after a storm are when call volume explodes and every competitor’s phone is down or overwhelmed. Yours won’t be.
